DESCRIPTION

Under the supervision of the on-site Operations Manager, the Front Desk Scheduling Coordinator is responsible for coverage at the Hillcrest Cancer Center as well as Cancer Center locations in La Jolla and North County as needed, including but not limited to Clinical Care Coordinator desks and Call Center. The scope encompasses greeting patients, check-in and check-out procedures, and appointment scheduling for various Cancer Center areas such as Moores Multi-Specialty Clinics, Koman Outpatient Pavilion, Hillcrest, Infusion, Fast Track, MRI, Imaging and Laboratory Services. The Front Desk Coordinator conducts registration, insurance and authorization verification, updates patient demographics, schedules and updates appointments, collects co-payments, manages/monitors cash drawer, expedites reports, supports and assists with template requests, handles in-basket pool, assists with daily office workflow, works closely with physicians, nurses, staff, leadership and other UCSD departments.

The Front Desk Coordinator provides Call Center Specialist coverage, including customer service, answering multi-line incoming calls, completing online registration, verifying insurance, scheduling appointments, securing authorization for scheduled services, and expediting EPIC orders from routed referrals through the MUC work queue. The Front Desk Coordinator provides Clinical Care Coordinator coverage, which includes covering desk duties and assisting patients with expediting new patient scheduling by reviewing the EPIC referral work queue on a daily basis. The Front Desk Coordinator assists physicians and all team members with managing all patient-related affairs and acts as patient liaison by fielding questions, scheduling appointments, arranging for hospital admissions, and assisting in other patient-related requests. The Front Desk Coordinator expedites patient needs, administrative duties, calendaring, academic duties, and other duties as assigned.

MINIMUM QUALIFICATIONS
  • Three (3) years of relevant experience working in a large healthcare organization.

  • Experience with patient check-in/check-out and cash handling.

  • Demonstrated computer skills and basic knowledge of Microsoft (Outlook and Word).

  • Must possess excellent customer service skills both in person and over the phone.

PREFERRED QUALIFICATIONS
  • Bilingual: English/Spanish strongly preferred.

  • Oncology experience.

  • Epic-Cadence experience.

  • Insurance and authorizations experience.

  • Scheduling experience.

  • Template building experience

  • In-basket handling experience.

  • Lean training.

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs, including occasional overtime/holiday coverage.

  • Employment is subject to a criminal background check and pre-employment physical.

  • Work locations include Hillcrest, La Jolla, and Kearny Mesa as needed.

Pay Transparency Act

Annual Full Pay Range: $54,664 - $67,944 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.18 - $32.54

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
